About the Role:
We’re looking for a sharp, service-driven, and highly dedicated Personal Assistant (PA) to support a high-performing CEO in all aspects of her life. This role blends personal, logistical, and executive support at a very fast pace. You’ll be trusted with everything from managing home life to coordinating international business trips—and everything in between. The right person for this role is discreet, adaptable, and gets things done—fast.
You’ll report to the Chief of Staff (US-based) and support the CEO (based in Israel, traveling weekly to the US), while working closely with a global, cross-functional team. Key Responsibilities:
Travel & Real-Time Support
- Travel frequently with the CEO (often monthly or more), supporting an intense schedule of back-to-back meetings and red-eye flights.
- Book all travel including personal (flights, hotels, transportation) and manage in-the-moment needs during unpredictable schedules.
- Stay on top of every detail during travel to minimize friction and maximize time.
Availability & Flexibility
- Match the CEO’s working hours, including late nights, US time zones, Fridays, and weekends.
- Be available 24/7 for urgent issues, with the flexibility to pivot as plans shift.
- Be present in the office whenever the CEO is, adjusting your own hours accordingly.
Executive Assistant-Level Support
- Step in to support or cover for the CEO’s Executive Assistant when needed:
- Manage calendar coordination across teams, time zones, and senior stakeholders
- Answer emails, schedule meetings, follow up on key tasks
- Maintain the CEO’s LinkedIn and social media with professionalism and consistency
- Attend meetings, take notes, summarize key decisions, and assist with follow-ups across the org.
Event Planning
- Organize CEO-led events in Israel and the US—such as leadership offsites, team workshops, private dinners, and internal gatherings.
- Handle full logistics: venue booking, agendas, guest management, materials, and flawless execution.
Home & Life Management
- Oversee household staff: 2 nannies, cleaning personnel, and service providers/handyman as needed.
- Interview and onboard new staff, manage/create schedules, and provide clear feedback to ensure performance.
- Manage the calendar and logistics for the CEO’s child, coordinating between two co-parents, nannies, and school schedules.
- Handle errands: dry cleaning, deliveries, tailoring, school pickups, and last-minute requests, shopping and travel necessities.
- Take charge of bureaucratic tasks: taxes, insurance, vehicle renewals, and healthcare paperwork.
- Manage rental properties and household vendors with a cost-conscious and proactive mindset.
Qualifications:
- 5+ years of PA or EA experience with C-level executives; experience with American executives or US-based work culture is a must.
- Fluent in Hebrew and English – Must.
- Experience working with multiple time zones – Must.
- Tech-Savvy – Comfortable with Google Suite, calendar management tools, email, and social platforms.
- Ability to move quickly, confidently, and get things done without waiting to be asked.
- Service-Oriented – You’re happiest when supporting others and making things run smoothly.
- Highly Independent – You take initiative, solve problems on the fly, and don’t wait for permission.
- Discreet & Professional – You handle confidential information with total trust and care.
